The MailCalm routing application runs on one designated Mac with macOS. It connects to the Microsoft 365 mailbox your team uses for incoming email, which can be a formal Microsoft 365 shared mailbox or another Microsoft 365 mailbox used as a team inbox. MailCalm forwards allocated work to each selected person’s chosen email address; Outlook teams receive it in the normal Outlook inbox they already use.

Outlook shared mailboxes are useful, but they do not assign ownership by themselves.

A shared mailbox gives everyone access to the same inbox, but it does not reliably decide who should handle each email. Teams often rely on manual forwarding, flags, categories, Outlook rules or people remembering what belongs to them.

The person managing routing uses the MailCalm macOS Control Panel. Ordinary staff do not use MailCalm, install it or log into a new workspace. The destination address is not technically restricted to Outlook; it can be any chosen email inbox.
