Outlook shared mailbox routing without a helpdesk

Proper shared mailbox routing. Without replacing Outlook.

MailCalm helps teams of two or more manage incoming work in a shared Outlook inbox. It automatically assigns emails, shares new enquiries fairly and keeps ownership clear. The source can be a formal Microsoft 365 shared mailbox or another Microsoft 365 mailbox used as a team inbox.

If shared mailbox management means deciding who gets each email, MailCalm handles that allocation for you. It does not replace Outlook with a ticket interface or ask the team to migrate into another workspace.

One designated Windows PC or Mac runs MailCalm. You configure routing in the Control Panel; ordinary staff receive their allocated emails in Outlook and do not need MailCalm installed.

Why MailCalm is different

Clear email ownership without a second workspace.

When everyone can see an email, it is easy for two people to start a reply or for each to assume somebody else is handling it. Giving incoming work a named owner reduces that ambiguity. Replies and returning customers can stay with the person who already knows the conversation.

You retain control over rules and availability without supervising every new arrival. MailCalm records allocations in Activity; optional Allocated-folder retention keeps originals in Microsoft 365. Staff still handle the reply, and MailCalm does not track ticket resolution or guarantee that someone has answered.

01

Your team stays in Outlook

MailCalm works alongside the Microsoft 365 mailbox your team uses. Customers keep emailing the same address, and staff receive the work allocated to them in Outlook instead of logging into MailCalm.

02

More context than basic round robin

Before assigning general work, MailCalm checks direct involvement, filters, existing customer ownership and specialist rules. Round robin is used when no stronger ownership signal applies.

03

Built for real availability

Individual working schedules and Active, Available or Off controls help prevent emails being assigned to somebody who should not receive new work.

04

Ready-made rather than built from scratch

MailCalm brings the routing rules together in one tested application. Your business does not need to design, connect and maintain a growing collection of Power Automate flows.

05

Simple, low-fuss and unobtrusive

MailCalm does not take over your inbox or change how your team works. It quietly handles routing alongside Outlook, without adding an agent workspace, ticket numbers, queues, statuses, internal comments, claiming, another browser tab or another inbox.

06

Defined active-routing limits

MailCalm plans are based on how many people may actively receive routed email at the same time, rather than charging a separate subscription for every employee in the business.

Which approach fits?

Power Automate, a helpdesk, an email platform or MailCalm?

Each option solves a different-sized problem. The right choice depends on whether you want to build a workflow, replace the inbox, add extensive management tools or simply make the existing Outlook mailbox work properly.

Power Automate

Best when you want to build and maintain your own workflow.

Microsoft Power Automate can be used to create shared mailbox assignment flows. The business or its IT provider must design the routing state, ownership rules, exceptions, schedules, error handling and future changes.

Helpdesk software

Best when you need a complete support platform.

A helpdesk can be the right choice for internal collaboration, shared workspaces, ticket workflows, customer support operations, deeper reporting, SLA management and multiple channels. It also changes where and how the team works.

Email management platforms

Best when advanced reporting and broader workflow tools matter.

Broader shared-inbox platforms may suit teams that want a full collaborative workspace, analytics, SLA monitoring and broader management features around the inbox.

The natural MailCalm team

Two or more people sharing one busy Outlook inbox.

Even with two people, deciding who gets the next email can interrupt the day. MailCalm gives small and growing teams fairer distribution and clearer ownership while everyone keeps working in Outlook.

MailCalm is likely to fit when:

✓

Two or more people share a Microsoft 365 inbox.

✓

Emails are currently picked manually, forwarded or managed using flags and categories.

✓

Replies and returning customers should stay with the person who already knows them.

✓

Certain enquiries need to reach a specialist rather than the next person in rotation.

✓

Working hours, availability and holiday cover affect who should receive new work.

✓

The team wants to remain in Outlook rather than move into a helpdesk.

✓

The business wants routing and ownership without rolling out a collaborative shared-inbox workspace.

Frequently asked questions

Choosing Outlook shared mailbox routing software.

Do I need a helpdesk to manage shared mailbox ownership?

Not if your main need is to allocate incoming email and keep ownership clear. MailCalm handles assignment while staff read and reply in Outlook. It does not provide ticket statuses, SLA tracking or a collaborative agent workspace; a helpdesk may be more suitable if you need those tools.

What size team is MailCalm designed for?

MailCalm is designed for teams of two or more people sharing a Microsoft 365 inbox. It works particularly well for small and growing teams that want fairer distribution and clearer ownership without moving everyone into a helpdesk.

Does MailCalm replace Outlook?

No. The team continues working in Outlook and customers continue emailing the Microsoft 365 mailbox the team uses. Ordinary staff do not install or log into MailCalm.

Is MailCalm a helpdesk?

No. MailCalm does not add a shared agent workspace, ticket numbers, queues, statuses, internal comments, claiming, portals or a replacement support workspace. It focuses on routing and ownership for an Outlook team inbox.

Does MailCalm require a formal Microsoft 365 shared mailbox?

No. MailCalm connects to the Microsoft 365 mailbox your team uses for incoming email. This can be a formal Microsoft 365 shared mailbox or another Microsoft 365 mailbox used as a team inbox.

Can Power Automate assign shared mailbox emails?

Yes. A business can build shared mailbox assignment in Power Automate, but ownership rules, routing state, availability, exceptions, testing and ongoing maintenance must also be designed and managed.

How is MailCalm different from basic round robin?

MailCalm checks direct involvement, filters, sticky customer ownership and specialist rules before using fair round robin. It also considers availability and individual working schedules.

Does MailCalm charge for every user?

MailCalm is not charged per employee seat. Starter supports up to 4 Active or Available routing people, Standard up to 8 and Team up to 15. Custom has a custom active-routing limit. Additional people can be stored while set to Off.

Keep Outlook. Add fair routing and clear ownership.

MailCalm gives smaller Microsoft 365 teams a ready-made way to route emails from the mailbox the team uses, without building a custom workflow or adopting a complete helpdesk platform. With the right Microsoft 365 access already in place, setup can usually be completed within a few hours.

If the routing computer is unavailable, routing pauses safely and incoming email remains in the Microsoft 365 mailbox until routing resumes or it is handled manually.
