Automatically assign incoming Outlook emails to your team.

If someone has to decide who gets every new email, the shared inbox is still a manual job. MailCalm assigns incoming Microsoft 365 team email using your rules, then forwards the allocation to the selected person. Your team reads and replies in Outlook.

Access to the inbox is not the same as owning the work.

A shared mailbox lets people see the same messages. It still leaves the question: who should handle this one? Manual forwarding interrupts whoever allocates the work. Letting staff choose can leave some enquiries waiting while others get two replies.

Automatic assignment makes that decision part of a configured process. New work can be shared fairly, familiar customers can stay with their owner and specialist enquiries can follow a different route. Staff receive the emails allocated to them rather than having to keep picking from the shared inbox.

Decide what should be shared and what should stay put.

You do not need to distribute every email in the same way. These examples show three allocation choices a team might configure, rather than three separate inboxes staff need to manage.

Round robin where work should be shared fairly. General enquiries can use the main rotation, while renewal emails rotate within their own smaller group. Special Rules can also send matching emails to one named person. Different emails can have different rotations, using the senders, addresses, subjects, keywords or domains you configure.

You control the allocation without doing it all day.

Choose the rules and who is Active, Available or Off. Use working schedules and holidays to reflect when people should receive work. If someone cannot take more new enquiries, adjust their availability rather than intercepting each email yourself.

Round robin distributes new allocations across eligible people; it does not judge their performance or estimate the effort needed for each enquiry. You retain those team decisions. MailCalm handles the ongoing distribution and records the allocations in Activity.

The routing order is DIRECT → FILTER → STICKY → SPECIAL → ROUND ROBIN. Return to Rotation is a separate reallocation action if an email needs to go back for reassignment.

Assigned email, with Outlook still doing the everyday work.

MailCalm is a focused desktop application for teams of two or more. One designated Windows PC or Mac runs it; ordinary staff do not install it or sign into another workspace. It is not an Outlook add-in, helpdesk, CRM or cloud email-routing service.

The source inbox must be Microsoft 365, but it need not be Microsoft’s formal Shared Mailbox object. Destination addresses can be non-Microsoft. For an Outlook team, allocated messages arrive in each person’s normal Outlook inbox.

Optional Allocated-folder retention keeps originals in Microsoft 365. If the routing computer or its internet connection is unavailable, routing pauses and incoming email remains safely in Microsoft 365 until routing resumes or the team handles it manually.

A named allocation makes responsibility clearer; it does not guarantee a reply or track ticket completion. If you need a collaborative agent workspace or SLA tools, a helpdesk may be the better fit.

Start with the inbox you already use.

With Microsoft 365 access in place, set aside a morning or afternoon. Connect the inbox, add the people who should receive work, configure the rules you need and check allocations in Test mode before switching on live routing. There is no staff workspace to roll out or email migration to organise.

Before you automate email allocation.

Can I automatically assign shared mailbox emails without building a flow?

Yes. MailCalm provides ready-made routing for a Microsoft 365 team inbox. You configure people and rules in the desktop app instead of building and maintaining your own assignment workflow. Normal staff keep reading and replying in Outlook.

Can emails be shared evenly without splitting up existing conversations?

Yes. New, unowned work can use fair round robin while existing conversations follow ownership rules. Eligibility depends on the configured people states, schedules and holidays. This distributes email allocations; it does not measure how long each job will take.

Can a team of two use automatic email assignment?

Yes. MailCalm is designed for two or more people sharing a Microsoft 365 inbox. Even with two people, automatic allocation can remove repeated decisions about who should handle the next enquiry.

Can I control who receives new emails?

Yes. You configure who is Active, Available or Off, along with schedules, holidays and specialist rules. MailCalm applies those settings when routing. You can change the configuration as the team changes without manually choosing a recipient for every incoming message.
